Privacy Policy

BuzzMate is an AI receptionist for missed calls, operated by HikaLabs (Australia). This policy covers the BuzzMate website (trybuzzmate.com) and product (app.trybuzzmate.com).

Your account: name, email, and a securely hashed password. Session records include IP address and browser type.

Your business profile: business name, trade, service area, hours, notes for Buzz, and the email where leads land.

Captured calls: when Buzz answers a call, we store the caller's number, the details they share (name, callback number, what they need, urgency), a transcript, a summary, and an audio recording. Buzz discloses at the start of a call that it's an AI assistant and that the call is recorded.

Demo calls: the number you enter, the call recording/transcript/summary, and a salted hash of your IP (abuse prevention — we can't reverse it to your address).

Billing: handled by Stripe. Your card number never touches our servers.

We use this data to run the product: answer your missed calls, deliver lead briefs to your inbox and dashboard, bill your subscription, and keep the service safe. We don't sell data, and we don't send marketing email — everything we send is about your account or your leads.

Cloudflare hosts the app and database and delivers our email. Telnyx carries calls, runs the voice assistant, and hosts call recordings. Stripe processes payments. Each only receives what their role requires.

Call recordings follow your plan's retention (Core 30 days, Pro 90 days, Max unlimited). Lead briefs stay in your dashboard while your account exists. Operational copies (raw call events, sent email bodies) are deleted after 90 days.

Ask us any time to access or delete the data we hold about you or your callers — email support@trybuzzmate.com and we'll action it, including recordings held with Telnyx. Cancelling your account stops all answering and billing; your leads remain visible to you until you ask us to delete them.
